Managers' Corner

Thank you for volunteering to be a Wild X Zone Manager for the 2021-22 Season!
 
As the Manager of your team, you will be asked to coordinate a number of details for the season. Your name and contact information will appear on the Wild and SMHA website in order for other teams to connect with you. 
 
Some specific roles of the Manager are:
  • To provide timely, clear and concise communications to the team parents, players, coaches and outside organizations such as the SMHA or tournament committees
  • To perform the required administrative tasks in order to allow the coaching staff to focus on coaching and developing the players on the team.
  • Resolve Issues or Problems - Managers should be prepared to deal with problems that may occur throughout the season. See additional information below: Complaint Resolution.

COVID
This year we are still dealing with COVID. A number of policies and procedures will need to be followed to ensure we meet any of the health orders of the province and the return to play plan by Hockey Sask.

Websites Commonly used

Important Dates – Please familiarize yourself with all the important dates. A few to note:
  • December 1 – Criminal Record Checks due and returned to the Wild Registrar
  • December 1 – AP list submitted to SMHA
  • December 1 – Know the Score (U13-U18)
  • January 10 – Deadline for AP list to have add/delete players
  • January 10 – Coaching Certifications must have been met/completed
Coaches & Mangers Handbook - SMHA has posted the Coaches & Managers Handbook on their website  
There is a lot of valuable information in the handbook and I highly encourage you to review it. Note: the handbook from 2018 is what is available but still has a lot of good information.

Parent Meeting – Work with the Head coach to arrange a parent meeting as soon as possible after teams have been organized. This is where the coach will talk about his/her philosophy as it relates to coaching, who will be the coaching staff, expectations of families and players, etc. It is also to have a discussion and agreement on items such as team fees, extra ice purchases, fundraising, tournaments, dryland, etc. Highly recommend that you take notes and send the information out to the families after the meeting so that everyone is on the same page.
 
Financials – Most teams will appoint a Treasurer to take care of the financials. It is also recommended to have two signing authorities for each team (i.e. Treasurer and Manager).
 
Here are some items to consider when preparing a team budget:

Revenues:
  • Startup Fees
  • Fundraising
  • Sponsorships
 Expenses:
  • Extra ice costs for practices;
  • Tournament entry fees
  • Exhibition games including referee costs
  • Training costs
  • Dryland costs
  • Team clothing
  • Team photos
  • Travel costs (i.e. team meal for out-of-town tournaments)
  • Team social functions (i.e. Blades games, bowling, swimming, etc
  • Team windup
  • Coaching staff gifts
  • Bank charges
  • Administrative costs (i.e. Labels, paper, etc.)
You will need to send at least three budget updates to your team and cc the Wild zone Secretary by the following:
 
1) Preliminary Budget by November 15;
2) Mid-term Budget by January 15;
3) Final Budget by April 15.
 
Financial Assistance – there are programs available for families to apply for financial assistance with team fees, tournaments, such as the Memorial Cup Legacy Fund     
 
U9 Teams - Dodge Caravan Program – This program will not be running for the 2021-22 season.
 
Team Clothing –  A number of suppliers in Saskatoon are available and have the Wild logo on file.
Al Anderson's Source for Sports has an online order store.
 
Verbero Clothing – A new supplier and a Wild member.
 
Social Media - NO cameras are allowed in the dressing room. There is zero tolerance for this. This means there should be no postings to any of the social media showing pictures from in the dressing room.
 
Privacy Issues – Please make sure you email your parents asking that they let you know if they DO NOT want their child’s name or photograph on the website. State that it is their responsibility to let you know (by a certain date) if they DO NOT want their child’s first or last name and their photo used. If you do not hear from them by this date, that means they approve.
 
Information re: Coaching Staff
 
Criminal Record Checks – Coaches should be handling but as a FYI – these must be completed and returned by December 1st at the latest.  Please submit ASAP to the Registrar. All teams need to submit CRCs as one package to 203 Carr Cres.  The zone will only provide a maximum of four (4) paid criminal record check forms to each team. If more are required, it will be at the expense of the individual or team. SMHA will not be providing any additional criminal record checks. 
 
Code of Conduct – All coaching staff must complete a Code of Conduct form and submit along with Criminal Record Checks.  Please submit all of your coaching staff documentation at same time.  The Wild Zone Registrar will collect the documentation.
 
Coach Requirements – Please ensure that your coach and staff have their requirements prior to deadline of January 10th. Any coaching staff on the roster must have appropriate requirements. If not obtained, the coach/team will be fined.
 
Coaching staff can submit their registration costs for coaching clinics to the zone for reimbursement. Please use the coach reimbursement form and submit to the Treasurer of the zone.
 
Player Affiliation – Head coaches are to take care of any player affiliations. As managers, you should know who the APs. There is no charge to APs to skate with your team.
Information re: Players
 
Medical Forms – All players must have a completed medical form. This information must be available at all times in the event that something happens to a player (i.e. keep in the coach’s bag or bring to the rink to each game).
 
Know the Score – U13, U15 and U18 -- SMHA’s drug and alcohol prevention program for parents and players. Deadline is December 1st.  Coaches normally arrange for this to be done with the team as a whole.  Please ensure that your team is aware that there are consequences with any player and/or coach is violation. Consequences are suspensions, mandatory counselling courses with third time offenders being suspended for one calendar year.
 
Concussion Information - Please encourage parents/players to watch the Hockey Canada videos on Head Contact.  The best way to access this information is to go to the SMHA website.
 
Games / Tournaments / Exhibition Games
 
Referees – If a referee does not show up for a game, please contact 382-7337 immediately. Anyone can submit a referee evaluation form.
 
Game Sheets – Game sheets will be provided for any SMHA regulated games at the rink. Managers should create game sheet Labels. Make sure your team name, division, players, and registered coaches names appear on the labels. You will need 3 labels per game sheet. Label size is 2”x4” (Avery labels #5163) and a template is available on the Wild Website. If you require game sheets for exhibition games/tournaments, you will need to purchase from SMHA.
 
Ice Change Forms – This includes practices and games. Forms are due 10 days in advance of change. Forms must be completed for any changes to SMHA league scheduled games or practices. All teams involved in the change must sign the form or have an email attached to the form by the participating teams agreeing to the change. You can ask any team from any division to switch an ice time provided they are SMHA teams and all agree.  Submit your signed forms to icechanges@sasktel.net       
 
For U13, U15 and U18, please ensure you understand how to ensure the correct number of games played against specific teams as this count towards your standings. Please see the SMHA website for detailed information
 
Timekeeping / Scorekeeping Schedule – The Manager should arrange for the timekeeping/scorekeeping schedules. It is very important to ensure coverage for this. Please have your parents check out the information on Timekeeping and Scorekeeping on the SMHA website to ensure they understand how to complete the form properly.
  • 2021-22: Home team will supply all individuals to work: penalty boxes, Timekeeping, Scorekeeping
  • U15 and U18 teams will have two volunteers in the penalty box – one on each gate
  • Game Time information

 Hockey Sask Travel Permit - for teams travelling outside of Saskatchewan and within Canada to attend a tournament. Found under Forms / There is no charge for a Travel Permit (Canada);  SMHA Office Contact - Kelly Boes

USA Travel Permit - please contact SMHA Executive Director, Kelly Boes to arrange for a USA Travel Permit
 
SMHA Bus Manifest Template – Required to be used by all SMHA teams for team bus trips
 
Exhibition Games
 
Hockey Sask Exhibition Game Sanction Request - found under Forms on the SMHA website.  There is no charge for an Exhibition Game sanction;  SMHA Office Contact - Christa Parent
Tournaments
 
SMHA rules - All Teams can only play a maximum of 5 tournaments per season.
 
Hockey Sask Tournament Sanction Request- for teams hosting their own tournament.  The cost of a Tournament Sanction is $30.00 ($55.00 if the Tournament Sanction request is made within one week of the start date of the tournament); SMHA Office Contact - Irene Andres-Kidd

Hosting Tournaments - If you host your own tournament, remember to get your tournament sanctioned by the SHA. Contact Irene Kidd at SMHA if you plan to host a sanctioned tournament.
Complaint Resolution
 
The Manager should be handling complaints between coaching staff and parents. A healthy resolution process involves:
  1. A 24-hour cooling off period (always) for the person(s) with the complaint;
  2. If the complaint involves the coaches, it should come through the manager first in case there is just a misunderstanding.
Two key tips in dealing with issues or problems that come your way:     
  1. Do not communicate via email because tone and intent can be lost and it inhibits a healthy two-way discussion on the issue;
  2. If the issue involves the coaches, try not to speak with the coaches immediately before or after a game or practice – they will likely have enough on their minds and will not be in a good mindset for dealing with a problem just then.
If a problem escalates, it should be discussed with the Wild Coordinator for the respective division, if then it still is not resolved then it should be taken to the Executive for evaluation.
Equipment
  • Mouthguards are optional but highly encouraged.
  • Neck guards are mandatory
  • Helmets for anyone on the ice but fit appropriately and are secured with straps – this includes coaches.
  • Do not peel off the CSA sticker on helmets as you may not be allowed on the ice if this sticker is missing.
Jerseys – You will need to collect a post-dated cheque of $75 per jersey (AtoMc jerseys only $75 total) from each player and hold until the end of the season. This deposit will cover any damages, other than normal wear/tear to jerseys. If no damage, return or shred the post-dated cheque.
 
Please express the importance of taking care of all jerseys. It is important to keep them away from the skates. Please encourage your parents to read the Jersey Care Instructions on the Wild Website
  • Routine laundering is required and is the responsibility of the team (if one person is managing jerseys) or each individual that is assigned a jersey.
  • Jerseys are to be washed in cold water and hung to dry only. DO NOT put into the dryer as this will damage/destroy the jerseys. 
  • Jerseys are to be hung in the jersey bag provided after each use. Velcro can be extremely damaging to jerseys.
  • Absolutely NO alterations to jerseys (except for the one AtoMc jersey (U11) that players will keep). For 2021-22 season, players will keep the BLUE AtoMc jersey.
  • No iron on, heat, or adhesive affixed items are to be applied to the jerseys.
  • No name bars on jerseys.
 Only U15 and U18 are allowed to wear third jerseys for any games, league or tournaments.
  • U7, U9, U11, U13 are all sponsored and teams must wear the sponsored jerseys at all games.
 U15 and U18 who want a third jersey need approval by the Executive prior to ordering. Please send proofs to secretary@saskatoonwild.com
 
Logos - The Executive asks that you get their approval on any logo that you’ve redesigned. These logos are only approved to be used on practice jerseys. Teams must use the Wild Logo on all clothing. Please email secretary@saskatoonwild.com if you have a logo you want to use besides the Wild logo.
 
Nominations for Awards
 
Please remember that nominations will be accepted for a number of awards within the Wild zone as well as by SMHA. Keep this in mind as your season progresses and nominate those that give back to the our zone.  Deadline for nominations will be March 1, 2022
 
  • SMHA Wendel Clark’s Communitiy Assist Cup - open to Novice and Atom teams that are creative and give back or assist their community. This is a great way for younger teams to bound, learn about their community while giving back to their community.

  • Volunteer of the Year Award 
  • Sportsperson of the Year Award
